Board of Directors Meetings - Operating Procedures

Because of the public interest in an associations activities, local sports associations should adopt an Open Meetings Policy. Under that policy, meetings of the Board of Directors are open to the public. Information on the date, time, and place of Board meetings and the agenda for the meetings can be obtained from the _______________. Requests to address the Board may be submitted to the____________and will be decided by the President of the Board subject to review by a majority of Board members present. Persons may also submit questions and information to the Board in writing or by email. They should be submitted to the Secretary who will distribute them to members of the Board.

An association's Board of Directors reserves the right to go into executive session to deliberate and consider such matters as personnel and legal matters; and revenue strategies. The decision to enter executive session will be announced by the President, but shall be subject to review by a majority of the voting members of the Board who are present at the meeting. Attendance at executive sessions shall be limited to voting members of the Board and such other persons as shall be invited to attend the session.

Members of the public may request to attend and address a board of directors meeting. Such requests must be forwarded to the Secretary, who will review the request with board members. Reports of board discussions and recommendations should be presented at general membership meetings. Minutes of Board meetings shall be made available to members and open to public inspection after the Board has approved them. Copies of the meeting minutes can also be posted on website.


OPEN MEETING / OPEN RECORDS POLICY

The [Name of Association] shall comply with the requirements of Article 4 of Chapter 18 of Title 50, relating to the inspection of public records, and Chapter 14 of Title 50, relating to open and public meetings, to the extent that such records and meetings relate to the association's activities with respect to high schools, recreation programs provided, however, that such association shall not be required to comply with such statutes or to conduct open and public meetings or provide inspection of records where the sole subject of such meeting or record pertains to the academic records or performance of an individual student or the eligibility of an individual student to participate or to continue to participate in sponsored events or contests based on academics; provided. However, where a meeting or record of such association is devoted in part to matters excepted in the preceding proviso, any portion of the meeting or record not subject to such exception shall be open to the public.

However, where a meeting or record of such association is devoted in part to matters excepted in the preceding proviso, any portion of the meeting or record not subject to such exception shall be open to the public.
